During the morning's discussion,we looked at some of the process building blocks that are available to create business processes with K2 blackpearl.In this lab,we will take a look at some concepts that will help you to model real-life business scenarios using K2.This lab builds upon the concepts discussed today and helps you build those elements in to a practical process using the K2 Designer for Visio.
SOLUTION CONTEXT
The existing travel request process requires that a paper based form is filled out stating the travel dates,destination and reason for travel.The business rules state that if the travel destination is in South Africa,the manager approval is all that is required.If the destination is outside of the South Africa,the Senior Manager rather than the manager must approve the request.After this approval,the travel request must be passed to the admin team for hotel and flight bookings.If the trip is
to a sales exposition and the requestor requires Promotional Material,the marketing department is required to check that a predetermined set of promotional materials are available and complete.One of the issues noted with the current business process is that there is a common failure for the personal traveling to return the materials to marketing upon returning.
It has also been suggested that due to a recent high turnover of staff in the admin department that stricter controls
should be placed upon the activities of booking flights and hotels to ensure that inexperienced staff who may not
be aware of operational procedure do not fall behind expected performance.The management team has requested that these controls remain flexible and under management control,rather than requiring developer intervention.
As we start to look at the existing business process,the approvals currently happen in a purely linear way (i.e.,
the paper form passes from department to department until complete).From this,we can start to draw some assumptions about the way the process will work.We are not initially interested in the front-end of the process but we do need to develop the process definition and identify the data storage requirements.We will initially look at the data requirements.There is currently no data store in the business for storing travel request data but there is a SharePoint list maintained of the team responsible for making all bookings in the organisation.We can use a SmartBox based SmartObject to store the travel request details and use a SmartObject based on the SharePoint list to return the potential line managers.There is an XML document available which stores all countries this information can be used to enable the user to select a country rather than typing the information in by hand.The process will incorporate the following elements:Parallel activities to ensure Marketing and the Booking team start work on their respective tasks as soon as possible
